Volunteering at Thornhill
OUSD policy requires parents who are volunteering with kids in a non-supervised setting (i.e., driving children to/from field trips, field trip chaperone, small group mentor/tutor) to have a green clearance badge, issued by Oakland EdFund. This badge indicates the volunteer has completed TB and fingerprint clearance, and has signed a liability waiver.
Please visit the Oakland Public Education Fund website for additional instructions on how to register for your volunteer clearance.
We highly encourage you to start now, as this process can take a few weeks!
This Oakland Volunteer Clearance How-To document outlines exactly what you need to do in order to volunteer—including information about the TB test, Live Scan Fingerprint Testing information/locations, and more. In addition, Oakland EdFund offers an FAQ that answers additional questions.

Frequently Asked Questions
I'd like to volunteer. Where do I start, and what does the clearance checklist process look like?
- Visit Oakland Public Education Fund (EdFund), and sign up to be a volunteer by completing the volunteer questionnaire.
- Submit TB clearance (instructions will be automatically emailed from EdFund upon completing Step #1)
- Complete Fingerprint Clearance. A “Request for Live Scan Services” form will be emailed to you from EdFund. Bring it to a live scan provider to have your fingerprints scanned.
- Sign the Liability Waiver that will be sent to you via Docusign from Oakland EdFund
- Submit a high-res. color photo for your volunteer badge where you are looking at the camera and your face is not obscured by a hat or sunglasses.
- Once everything is on file, EdFund will mail you a volunteer clearance badge to wear every time that you volunteer. This will clearly indicate to school staff that you are all clear to volunteer without being supervised. This clearance level gives you the ability to volunteer as many times as you like without being supervised by an OUSD employee. Ex: driving for a field trip*, working one-onone with students alone, attending an overnight field trip.
- If you plan on driving students in your care, you must turn in the Declaration of Driver form, proof of adequate insurance, and a copy of your Driver's License to the front office at your child's school.

I've been fingerprinted with another organization before. Do I need to do this again for EdFund?
- Each organization that works with students is responsible for maintaining their own clearance requirements and records, and is legally required to keep them secure. If you have volunteered with a partner organization in the past, you will have to be fingerprinted again with our program.
- If you have volunteered with OUSD and we cleared before August 2015, your records are now out of date and you are required to complete another fingerprint test.
My badge/clearance is expiring soon. What do I need to do to renew it with EdFund?
An expiration simply means that EdFund needs an updated TB clearance. Fingerprints, the photo, and the liability waiver do not expire. TB clearance is needed every four years.
Within a month of when an existing volunteer's TB clearance will expire, they will receive an automatic email from the EdFund system explaining this and asking them to please upload a new TB clearance through that e-mail.
Once they have the updated TB clearance, they will send the volunteer a new ID badge.
